Inventory
The "Library" page is used to manage crop protection products. You can add, edit, archive, or delete products here. Only products added to the library can be used during vineyard treatment steps.
Accessing the page
Make sure you are logged in to access the following link :
You can also access it by going to the Inventory section in the menu, then Vineyard library.
Overview
You can view a list of all your products, which will be available when you complete a step for the vineyard and select the type 'Crop protection chemical and biological.' At that point, you'll be able to choose the product you want to apply from a dropdown list of the ones you've created in the inventory.
You can access a complete list of your products within the library. When completing a "Crop Protection" step in the vineyard module, you’ll be able to select the appropriate product from a dropdown menu populated with the products you've previously added to the library. Please note that only products included in the library can be selected—it is not possible to add a new product directly during the crop protection step. For Belgian winegrowers, the official list of authorized crop protection products for 2024 has already been entered into the system. Any missing products can be manually added through this library.
You can sort the products in your library by recognition code, product name, formulation type, or bio. If you click once, the products will be sorted in alphabetical order based on the selected column. If you click a second time, they will be sorted in reverse alphabetical order. You can search for products using the recognition code, product name, or product type. You can activate the "Show archived products" option; this will also display the products you have archived. Archived products are items that were previously used in a crop protection step but have been removed from active use—typically due to reasons such as the loss of official recognition or other regulatory or operational changes. Archiving ensures that these products remain visible in historical records but can no longer be selected for new crop protection entries. You can also add a product, edit a product, delete a product and archive a product.
Each product in the library can have one of the following statuses:
• Active: The product has been added to the library and is available for selection during the crop protection step.
• Active and used in a step: The product has been used in at least one previous crop protection registration and remains available for future use.
• Archived and used in a step: The product was previously used in a crop protection step but has since been archived. Archived products are no longer available for selection in new crop protection steps. They are only visible when the "Show archived products" option is enabled.
How to Add a Product to Library
- Click the "+ Add product to library" button.
- Fill in the required information in the add product form. Required fields are marked with an asterisk () in the form.*
- Recognition code (required) This is the official code for the crop protection product in the country of use and purchase.
- Product (required) Enter the full official name of the product. Include any additional details such as “50 percent WG” or other relevant identifiers.
- Formulation type (required) This is the form in which the product is applied. Examples are: granulate, powder, liquid,…
- Product description This allow you to add extra details about the product.
- Product types (required) Choose from the available list of crop protection product types. If you don’t see the correct type, contact us.
- Bio Check this box if the product is approved for use in certified organic vineyards.
- Click "Save" to add the product to your winery.
How to Modify a Product
Important: Once a product has been used in a crop protection step, it can no longer be edited or deleted. This is to ensure that historical records remain accurate and unchanged. If you still need to modify the product, you must first delete the crop protection registration that uses it. After that, you can edit the product in the library and then re-create the crop protection registration using the updated product. As long as a product is linked to an existing registration, editing or deleting it is not allowed.
- Click on the Modify icon (the one with a pencil) located at the end of the row you want to modify.
- Modify the information you want.
- Click "Save" to save the changes.
How to Delete a Product
- Click on the Delete icon (the one with a trash can) located at the end of the row you want to delete.
- A pop-up will appear with the following text: "Are you sure you want to delete this crop protection product ?"
- Click "YES" if you want to delete the product.
- The product will be deleted.
How to Archive a Product
If the trash icon is not visible, this means the product has been used in a crop protection step. In that case, deleting is not allowed to protect the accuracy of historical records. Instead of deleting, you can archive the product. An archived product will no longer appear in the active product list, but it will still be visible in historical crop protection registrations. Archived products are also not selectable in future crop protection steps. When archiving, a confirmation message will appear: "Are you sure you want to archive this crop protection product?" Click "YES" to confirm. If a product was archived by mistake, you can unarchive it at any time.

How to Add a Task
- Click the "+ Add Task" button.
- Fill in the required information in the add task form. Required fields are marked with an asterisk () in the form.*
- Task Name (required) This is the name that will appear in the task overview. Choose something clear and descriptive.
- Module (required) Use this field to categorize the task based on the stage of the winemaking process it belongs to, such as Vineyard, Harvest, or Cellar.
- Task Type (required) This field describes the specific activity the task refers to. By linking it to a predefined operation in the vineyard or cellar, the platform will automatically use the correct activity form when the task is completed through a registration.
- Priority (required) Indicate how important or urgent the task is.
- Start date The date when the task should begin.
- Due Date (required) The date by which the task should be completed.
- Assigned To Choose who will be responsible for carrying out the task.

How to View a Task
- Click on the View icon (the one with an eye) located at the end of the row of the task you want to view.
- Click the "✖" in the top right corner when you are finished.
How to Modify a Task
- Click on the Modify icon (the one with a pencil) located at the end of the row you want to modify.
- Modify the information you want. Please note: A task can only be edited if it hasn't been marked as done. Once a task is completed, the platform locks its details to maintain accurate records. In that case, you’ll only be able to add comments — editing other information will no longer be possible.
- Click "Save" to save the changes.
How to Delete a Task
- Click on the Delete icon (the one with a trash can) located at the end of the row you want to delete.
- A page will open with the following text: "Are you sure you want to delete this task?"
- Click "YES" if you want to delete the task. Important Note About Linked Registrations: If the task you’re deleting has a linked registration, the system will display a different confirmation message: “The registration will be detached from this task but will remain accessible for traceability.” This means that while the task itself will be deleted, the connected registration will remain in the platform. You won't lose any historical or traceability data — only the task link will be removed. For tasks that are not marked as done, or those without a linked registration, the standard confirmation message will apply.
- The task will be permanently deleted.
How to Mark a Task as Completed :
- Click on the Validation icon (the one with the green check mark) located at the end of the row of the task you want to mark as done.
- A page will open with the following message: "Do you want to register a step while completing this task?"
- You have two options : -Click “NO” to simply mark the task as completed. The task’s status will be updated, and the icon will turn yellow to indicate it’s done. -Click “YES” if you want to register the corresponding activity. The system will guide you to the Register an Activity form, where you’ll need to select the grape parcels or storage units where the task was performed. The activity type will already be pre-filled based on the task’s information.
- The icon will turn yellow, which means the task has been completed. If you want to move the task back to "To Do", just click the yellow arrow again — it will turn green.
Reverting a Task to "To Do"
At any time, you can return the task to the “To Do” status
- Simply click the yellow icon again.
- It will turn back to green, and the task will be set as active once more. Note: If you revert a completed task that has a connected registration, the system will detach the task from the registration, just like it does when you delete a task. The registration itself will remain available in the platform, so no historical or traceability data will be lost. Once the task is reverted, you’ll be able to complete it again at a later time — with the option to link a new registration if needed.
