Selling a Harvest or Purchase Batch

In the platform, you can register the sale of harvested grapes or purchased grapes/must. This step ensures that quantities permanently leaving the winery are recorded in the traceability system.

To access this function, go to theWinery Activitiesmenu and selectHarvest. Then click theyellow-blue arrownext to the batch you want to sell and chooseSale.

At the top of the form, you may see a large system notification. This can be closed by clicking the cross in the top-right corner.

Important Notes About the Selling Step

You can perform multiple post-harvest actions (e.g., transfers or sales) on the same HBN (Harvest Batch) or PBN (Purchase Batch). This is possible only until theprocessed percentage reaches 100%. Once a batch is fully processed, it becomes inactive and no further steps can be taken.

You cannot sell multiple batches in a single registration. Each batch must be sold in a separate step.

⚠️Selling Step Requires Certainty
  • Only register a selling step if you are absolutely certain that the grapes or must will be sold and permanently removed from the platform.
  • Selling steps directly affect traceability and cellar operations.
  • While it is technically possible to delete a selling step, this is strongly discouraged due to the impact on traceability records.
  • Once registered, the sold quantity will be marked as processed in the HBN or PBN. A fully processed batch will no longer be available for additional sales or transfers.

  • Always register a selling stepon, or just before, the actual pickup dateof the grapes or must.
  • This ensures accurate traceability and prevents conflicts with cellar activities such as transfers or transformations.
  • Do not use this step as a placeholder. Register it only when the sale is final.

Completing the Selling Form

After selectingSale, a form withtwo sectionswill appear.

1) General Information

In this section, provide the following details:

  • Date– Pickup date or the date on the invoice.
  • Description– Notes or details you want to record about the sale.
  • Batch Information– Basic details about the selected HBN or PBN.
  • Selling Type– Choose whether the sale concernsgrapesormust(important for government documentation).
  • Percentage of Harvest Sold– Enter manually or use the autofill switch to apply the available percentage of the batch.
  • Estimated Weight Sold– Unlike harvest registration, the sold weight must be recorded.
  • Total Working Hours– Labor time spent on the selling operation.
  • Comments– Additional information if needed.

2) Selling Details

This section allows you to provide more detailed selling data:

  • Cost Price– Per kilogram and the total value. This is useful for calculating the production cost of wine.
  • Purchaser Information– Enable the purchaser switch to enter details about the buyer, including:
    • Winery name
    • Contact person (name, phone, email)
    • Company name and VAT number
    • Winery address (street, city, postal code, country)

3) Saving the Sale

Once all information has been entered, clickSaveto complete the registration.

If successful, the platform will confirm with the message:
β€œSelling step registered.”

The sale will then appear in your harvest overview and be integrated into your traceability records.
